NHCVS owns and manages an accessible community minibus. The vehicle is available for hire by community groups in North Herts and the surrounding districts. Groups must be members of North Herts CVS to meet our insurance requirements.
The priority is to cater for the needs of organisations or groups dealing with children and young people but it is also available to other community groups in the area. The vehicle can carry up to 13 passengers (plus the driver) in normal seating mode or seats can be removed to accommodate up to 4 wheelchairs with access via a lift. The vehicle is spacious, heated and comfortable with secure fixings for wheelchairs and a range of other safety equipment.
A booking form must be completed and a deposit of 50% of the total cost paid in order to secure the booking. (24 hours notice is required for a cancellation. A cancellation fee of £25 will be charged if less notice is given). Full details can be found in the Terms and Conditions of Hire. Please make sure your Organisation meets the Section 19 Permit requirements.

- Laminator (including pockets in A5, A4, or A3): £0.75 to £1.25 each or £0.50 - £1.00 each for Members
- Trimmer: £1.00 per day or FREE to Members
- Photocopies (in Black and White or colour, sizes A5 to A3): £0.10 to £1.00 per copy, £0.05 to £0.50 for Members
- Comb and Wire Binder: £0.25 per binder or £0.15 for Members
- Reference books, up-to-date funding guides and books, available for reference only: Members only (FREE)
Bookings must be made at least 7 days in advance. £5 charge will be made for cancellations less than 3 days in advance. Higher charges will apply to statutory organisations. When arranging to collect equipment, please allow extra time for staff to demonstrate the use of the item and to complete an equipment hire agreement form.

DBS checks were previously called CRB checks. NHCVS are registered as an umbrella body with the DBS (Disclosure and Barring Service) which means that we can process DBS applications for you, your staff and volunteers. It is recommended that DBS certificates are renewed every 3 years.
Do you need a DBS?
There is a common misunderstanding that anyone who works with young people or vulnerable adults requires a DBS check, this is not necessarily the case.
As an umbrella body NHCVS must ensure that all DBS applications are lawful before submitting them, so please ensure that have have checked this eligibility before making an appointment to see us.
Please note that NHCVS is registered to carry out Standard and Enhanced checks only, if you require a Basic check this must be completed online through the DBS website:
DBS Appointments with NHCVS
If you would like us to oversee your DBS application, you will need to make an appointment with us.
All appointments are done face to face at our Letchworth office and usually take 10-15 minutes.
We are open 9am-4.30pm, Monday to Friday. Please call 01462 689400 to make an appointment.
An appointment time is needed, to make sure that there is a member of staff available to complete the application.
We may be able to visit your organisation to undertake DBS applications if you have a large number to be completed, for which, there is an off-site administration charge, please contact us to discuss this option.
Identity Documents Required
The person requiring the check will need to bring along original identification documents to the appointment. We cannot accept copies of documents. We suggest you bring:
- Current passport
- Photocard Driving License
- Tax forms/ council tax bill/ utility bill/ bank statement with your current name and address on them, which is less than 3 months old and not printed from the internet
- Marriage or Birth certificate (if no passport)
- National Insurance number (on either a p45 or p60)
If you have moved within the last 5 years, previous address details, including postcodes, will be required. If you have changed your name (e.g. you got married), you will need to bring documents and details of the name change, including the date that your name changed.

Whilst DBS checks are FREE to volunteers / unpaid staff, please note that North Herts CVS charge an administration fee for each application carried out. Our charges are as follows:

The DBS Update Service
The online Disclosure and Barring Service update service allows applicants to keep their DBS certificates up to date, and employers to check a DBS certificate. The applicant must pay £13 per year to have their certificate renewed annually.

By using our franking service for your mailshots, your organisation can make considerable savings on standard postage costs. Our franking service is available for mailings of 50 envelopes or more which need to be ready for the post (filled, sealed and addressed). Please note that we need a minimum of three working days notice.
An administration charge of £5.00 per multiples of 50 envelopes will be applied to all invoices,
which will be due upon receipt.
